What people ask us before they start. Including what Choucas doesn’t do.

The product

  • Choucas is an operations system for property management companies. It turns requests into actions, supports the field team, separates doing the work from checking it, and tracks each property’s status through to READY.

  • READY describes a property after it’s been checked. A finished job doesn’t automatically make a property ready for the next arrival.

  • Nobody checks a job they did themselves.

  • Yes. A job carries on without signal: whatever is entered stays on the phone and syncs when the connection comes back. Urgent alerts, for their part, try to go out straight away through whatever channels are available.

  • No. Choucas can prepare the information and automate internal workflows, but anything going outside is reviewed and sent by a person.

  • We spend a day with you to observe your operation, structure your workflows, configure Choucas and test the setup with your team. The day puts in place what you need to start: active properties, roles, workflows. Files then fill in as you go — an appliance’s model number goes in the day someone works on it, not the night before launch.

Scope

  • Choucas is built for the operational layer between requests, the field, the check and the report. It doesn’t replace a PMS or a channel manager.

  • No, that stays in your PMS. Choucas starts when a guest leaves and stops when the next one arrives.

  • Yes, through your properties’ changeovers and iCal calendars. The exact link depends on the PMS you use — something to work out together on the setup day.

  • Only one Google Workspace account is needed, and it holds the document — not your teams. Choucas doesn’t use Google accounts to identify people: each person signs in with their own code, in the app. Your team members don’t have anything to create, and you keep Microsoft for everything else. The account that hosts the document must be opened in your name, not ours: that’s what makes the clause that leaves you the tool if we shut down hold true.

  • Choucas is designed for the short, frequent changeovers of holiday lets. For long-term lets, with few changeovers a year, the independent check adds less value.

  • The independent check needs someone other than the person who did the job to sign it off. With one person, that isn’t possible, and there’s no solo plan. If that’s your situation, let’s talk directly — it isn’t the right fit as things stand.

Team and adoption

  • No. The product principle is to measure properties and jobs, never people. Choucas isn’t built around rankings or individual performance counters.

  • The field interface shows one job at a time, with big buttons and little text. It’s designed to be used with gloves on, outdoors — not for digging through menus.

  • Allow less than half a day for someone who carries out jobs. The checking role takes a little more practice, because it means taking responsibility for signing off someone else’s work.

  • Your properties, roles and workflows are configured once: nothing to redo from one season to the next. What changes each winter is the people, and that doesn’t touch the configuration.

  • It’s the most common sticking point, and it’s worked through before rollout, not after. Part of the setup day is spent explaining that it isn’t a top-down check, but a cross-check between peers.

Data

  • In your own Google Workspace. The spreadsheet and the program that runs it are set up on your side on the setup day, on an account that belongs to you: your data doesn’t pass through any infrastructure of ours. Depending on your Workspace plan, you choose the region where Google stores it, in your admin console. We keep support access, which you can revoke whenever you like, without having to ask us.

  • They’re used first to check the job, and they stay attached to the property. They then go to its owner, and to them alone, in the report: the end of a clean, a maintenance visit, building work. Nothing goes to them without you having reviewed it: you decide what gets sent.

  • Three years after the last stay, for all three files — guest, property, owner — after which they’re deleted. The period comes from the purpose: a file exists to serve someone better when they come back. A guest who hasn’t returned in three seasons no longer has a useful file.

  • Choucas stores no health data about guests — no allergies, intolerances or treatments, in any field, including the free-text fields you set up yourself. It’s a decision, not an oversight: this data falls under a special regime we’ve chosen not to handle. A notice at the point of entry reminds the team.

  • Yes, within the limits of the applicable right of access. The request goes through you, as the data controller for your properties.

  • Your property, job and check history data, exported in a readable format. Nothing is held back on our side once the contract ends.

Pricing and commitment

  • Setup costs €2,000, once — €500 on booking, the rest after the trial week. The subscription is then €15 per property per month, with a €300 minimum. Twelve properties come in under that minimum, so you pay €300 a month.

  • The price follows your active properties: a property closed for the off-season doesn’t count. The €300 monthly minimum still applies — below twenty active properties, it’s the minimum that sets the amount.

  • You commit €500, not €2,000, and not a year. The deposit books the day and is deducted from the setup. We configure on site, the week after is free, and you decide at the end. If you carry on, the balance is invoiced and the subscription starts, month by month. If you stop there, you only pay the deposit. After that, you stop whenever you like: billing ends at the end of the current month, with no notice period.

  • Your operation carries on. It’s written into the contract from the day you sign: the document and the program that runs it are set up in your Workspace, on an account in your name. Your configuration, your data and the tool stay yours. A property management company shouldn’t lose its operation because its software provider has shut down.

  • Twice. The demo is on this site, with fictional data: you can use it without installing anything and without giving your email address. Then the week after the day on site is a real trial, free of charge — your properties, your team, your real jobs. Only the €500 deposit is committed beforehand, and it’s deducted from the setup if you carry on.

  • No. The day on site is the setup: €2,000, once, and nothing else for getting started. €500 is paid on booking and deducted; the balance is only invoiced after the trial week, if you carry on.
